Role Overview

As an Assistant Manager in Vetting Support, Office Management, and Personnel Security, the postholder coordinates day-to-day vetting activities, supports office-management functions, and upholds personnel-security standards. The role involves liaising with recruiters, candidates, managers, and third-party vendors to keep vetting and onboarding processes accurate, compliant, and on schedule.

Key Responsibilities

  • Coordinate and monitor vetting activity for staff and contractors, following up to keep processes moving and resolving bottlenecks.
  • Manage day-to-day communication with recruiters, hiring managers, candidates, and external vetting vendors.
  • Support candidates throughout the onboarding and vetting journey, ensuring they understand requirements and provide accurate documentation.
  • Liaise with vendors to ensure appropriate checks (e.g., criminal records, right-to-work, references) are completed and information is received accurately.
  • Maintain and update spreadsheets, systems, and candidate records with a high level of accuracy and complete audit trails.
  • Check documentation and information for accuracy, completeness, and compliance with internal policies and legal obligations.
  • Support Legal & Compliance activities, including internal transfers, leavers, and compliance reviews.
  • Contribute to office-management tasks such as resource planning, workflow coordination, and continuous-improvement initiatives for the vetting and security function.
  • Handle confidential information with care and maintain strict adherence to data-protection and privacy policies.

Shift Pattern & Pay

  • Full-time, permanent position based in Bristol (hybrid working may be available depending on team requirements).
  • Competitive salary typical of Assistant Manager level in UK professional services, with performance-related bonus eligibility.
  • Standard business hours with flexibility for occasional additional coverage as needed for vetting or office-management priorities.

Requirements

  • Previous experience in recruitment onboarding, vetting, personnel security, or a compliance-focused administrative role. Familiarity with employment law, data-protection regulations (e.g., GDPR), and industry-specific compliance standards. Experience coordinating criminal record checks, right-to-work verifications, reference validations, or security-vetting processes. Strong attention to detail, methodical approach, and ability to maintain accurate audit trails. Excellent communication and interpersonal skills, with confidence to engage stakeholders at all levels. Ability to manage multiple tasks and priorities in a busy environment, working efficiently with minimal supervision.
